1. Who is responsible?
REGÊNT House is a trading name of MQ Productions. Questions about privacy can be sent to info@regenthouse.nl or by post to Weimarstraat 106, 2562 HB The Hague.
2. Which data may we process?
Depending on your relationship with REGÊNT House, this may include contact details, communication, appointment and planning information, cooperation and financial records, legally required identification information and access or incident records.
Guests may be asked to show valid identification. A copy is not routinely retained for visitors. For independent workers, identity and cooperation records may be required for agreements, administration and legal obligations.
When an independent worker chooses to have a public website profile, this may include an approved working name, introduction, languages, availability and profile photographs. A profile is published only after the worker has approved the public information and imagery.
3. Why do we use personal data?
- To answer enquiries and arrange introductions or visits.
- To publish approved worker profiles and help guests ask about availability.
- To manage planning, access, cooperation, payments and administration.
- To meet legal, tax, accounting and security obligations.
- To protect people, property and the safe operation of the location.
The applicable legal basis depends on the context and may include steps taken at your request, performance of an agreement, a legal obligation, consent or a legitimate interest. Special-category data is processed only where necessary and a lawful exception applies.
4. Website enquiries
The website form sends your enquiry securely to REGÊNT House through the WordPress mail service. No third-party form processor is used. Emails received are kept only as long as needed for the enquiry, any resulting relationship and applicable legal obligations.
5. Camera monitoring
Camera monitoring may be used in circulation areas such as hallways and the landing for safety and security. There are no cameras in suites, the Playroom or sanitary areas. Recordings are normally retained for 14 days, unless an incident requires longer retention for investigation or legal purposes. Access is limited to authorised ownership or management.
6. Retention
Personal data is not kept longer than necessary. Statutory administration is generally retained for the legally required period; this may include seven years for fiscal records and five years for relevant payroll records. Other records are assessed by purpose, risk and legal need.
7. Sharing and processors
Data may be shared with service providers or authorities only where this is necessary, legally required or properly agreed. Appropriate agreements and security measures are used where a supplier processes data on behalf of REGÊNT House.
8. Your rights
You may request access, correction or deletion, restriction of processing, data portability where applicable, or object to certain processing. You may also withdraw consent where processing relies on consent. Send a request to info@regenthouse.nl. You also have the right to complain to the Dutch Data Protection Authority.
9. Security and changes
REGÊNT House applies organisational and technical measures appropriate to the nature of the data. This policy may be updated when the website, services or legal requirements change. The latest version is published here.
